Privacy policy

How Optimize handles information across the website, Chrome extension and Windows app.

Last updated: 12 October 2026

1. Who this policy covers

This policy covers Optimize at optimize.org.in, the Optimize AI Job Application Assistant Chrome extension and the Optimize Windows AI app. Contact support@optimize.org.in with privacy questions or requests. Third-party job portals, Google and service providers have their own privacy policies.

2. Account, profile and website information

We handle your Google-account email and authentication information to create or access your Optimize account. Information you provide during onboarding and profile setup may include your name, phone number, date of birth, city or region, education, employment, skills, projects, links and resume content. These details support your profile and the features you choose.

When you use website features such as AI chat, communities, referrals, applications or purchases, we handle the content and records needed for those features. Purchase and wallet records may include amounts and transaction identifiers; payment providers process payment details under their own policies. Service requests also expose technical information, such as IP address, to the servers and infrastructure handling them.

Information in public profiles, shared resumes or community posts can be visible to other people. Review the information you publish or share, including contact details.

3. Chrome extension and application pages

The extension accesses the selected website when Chrome grants access through your action or a site permission you approve. It inspects job details, page URL and title, application field labels, available options and required-field information to show relevant questions, match saved profile information and validate the application.

The current application URL, timestamps, detected fields and fill results are held in Chrome session storage. Profile matching and form filling run in the browser. Selected-page information is not a collection of your complete Chrome browsing history. The extension does not request Gmail access and does not automatically submit applications.

Your sign-in preference and account email can remain in local extension storage. The short-lived Optimize access token is stored in Chrome session storage. Google authentication and account/profile/onboarding requests are sent to the Optimize API. Full profiles are not persistently saved by the extension. Sign out to clear its authentication and application session state.

4. Windows AI, audio and screen context

The Windows app uses your shared profile, questions and selected session context to generate suggestions. Audio capture starts with your explicit action and permission confirmation. Microphone or permitted system audio is streamed through the Optimize service to Amazon Transcribe for speech recognition. Raw audio is not saved by the Optimize application's recording pipeline.

Questions, relevant profile context and transcript context are sent to the Optimize service and Amazon Bedrock to produce AI responses. Screen capture is separate: you choose a screen or window and review a preview before including it in a request. A submitted screenshot is sent for AI processing; the app does not store it in saved session history. Avoid sharing information you are not permitted to disclose.

The desktop session token is protected using the operating system's secure storage when available. Local preferences include your theme and capture/history settings. Sign out clears the app's local authentication state; it does not delete the shared account.

5. How we use and share information

We use information to authenticate accounts, maintain shared onboarding/profile data, provide the features you request, process transactions where applicable, answer support requests and protect service security. Information needed for a job application is entered into the selected job portal when you request autofill; that portal then handles it under its own policy.

Google provides authentication. Hosting, database, storage, payment and AI service providers process information necessary to deliver the relevant feature. AWS services used by the desktop AI flow include Amazon Bedrock and Amazon Transcribe. Provider processing is subject to their applicable terms and privacy policies.

We do not sell extension user data or use it for unrelated advertising, creditworthiness or lending decisions. Transfers are limited to delivering the disclosed features, security, legal obligations or an appropriately disclosed business transfer. Human access to extension user data requires your consent for specific support, a necessary security or legal purpose, or aggregated and anonymized internal operations permitted by the applicable Limited Use rules.

6. Google and Chrome Web Store Limited Use

Optimize's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Chrome extension user data is used for its disclosed job application assistance purpose and related necessary operations, consistent with the Chrome Web Store User Data Policy, including Limited Use requirements.

7. Storage and retention

Account and profile information is kept while needed to provide your account and services, or until an applicable deletion request is processed. Extension session storage is temporary; local sign-in preferences remain until cleared. Removing the extension clears its local extension storage, but not your account on the server.

Windows text history is off by default. When you enable retention for a session, its transcript and question/answer text can be saved. Desktop session records are configured to expire after 30 days, with background cleanup following expiration. You can delete saved sessions through History. Raw audio and screenshot previews are not saved as session history.

Operational logs, transaction records and backups can remain where necessary for service operation, security or legal obligations. Sign-out, uninstall and deletion of a single history session do not automatically remove every server or backup record.

8. Your controls and requests

You can edit profile information, sign out, revoke a Chrome site's permission, uninstall the extension, pause or stop audio capture, discard screen previews, choose whether to retain Windows text and delete saved Windows sessions.

Email support@optimize.org.in from your account email to request access, correction or account/data deletion. Explain your request; we may verify identity before processing it. We will explain any information that must be retained for legal, transaction or security reasons.

9. Security and policy changes

Production account and API communications use HTTPS. App permissions and authentication help limit access, but no system can guarantee absolute security. Do not send passwords or tokens to support. Report suspected unauthorized access to support@optimize.org.in.

We may update this policy as the service changes. The date on this page identifies the latest update. Material changes in collection or use will require updated disclosures and any consent required for the affected feature.
